The short version
- MyGradLedger helps high school students keep a record of their activities and ask the people who know their work to confirm it.
- We collect what you type into the app, plus basic usage information. We use it to run the service.
- We do not sell personal information.
- Your ledger is private. It is only public if you choose to publish a portfolio, and then only your name, school, class year, and verified activities appear.
- You can delete your account and everything in it from Account Settings at any time.
- We use analytics and session-recording tools. In the app, sign-up, and dialogs we hide all text and everything you type from those recordings.
What we collect
From students
- Account: email address and password (the password is handled by Google's Firebase sign-in; we never see it), your name.
- Profile: school name, grade and school year, expected graduation year.
- Your ledger: each activity's name, description, dates, hours, and the supervisor you list (name, school or organization, email).
- Verification status: whether a supervisor has confirmed, declined, or not yet answered each activity.
- Optional: feedback you send us (stored with your account if you are signed in), and anything you ask the AI suggestion feature to work on.
From supervisors (people asked to confirm an activity)
- When you open a confirmation link you provide your name, your role (how you know the student), your answer, an optional comment, and an optional email address for a receipt.
- The student can see your answer, name, role, and comment on their ledger. If you give an email address for a receipt, it is stored with that confirmation and visible to the student.
- You do not need an account.
From everyone who visits
- Basic technical and usage information: pages viewed, device and browser type, approximate location, and how the site is used, collected by the analytics tools listed below.
- Your IP address is stored, together with a daily counter, as a rate-limit key when you use the homepage AI demo, send feedback, or use the advisor sign-up form, so one visitor cannot flood those forms. It is not linked to an account.
- If you use the advisor sign-up form, the email address you enter.
How we use it
- To run your account and show you your ledger.
- To email supervisors the confirmation requests you ask us to send, and to send receipts.
- To create your resume PDF and the activity list you copy.
- To suggest wording for an activity description when you ask for it.
- To keep the service secure, prevent abuse, fix problems, and understand which parts of the site work.
Who processes data for us
We use these services to operate MyGradLedger. They handle data on our behalf.
| Service | What it does | What it sees |
|---|---|---|
| Google Firebase / Google Cloud | Hosting, sign-in, database, server functions. Data is stored in the United States. | Everything in your account. |
| EmailJS | Sends verification-request emails and receipts. | The supervisor's email address, the student's name and school, the activity name, dates, hours, and description in the email. |
| Anthropic | Writes AI description suggestions and the homepage demo. | For a suggestion: the activity name, the supervisor's organization, the description, and start date you entered. It does not receive your name or email. For the demo: the sentence typed into the demo box. |
| Google Tag Manager and Google Analytics | Site usage statistics. | Page views and interactions, device and approximate location. |
| Microsoft Clarity | Anonymous session recordings and heatmaps to find usability problems. | How pages are used. See "Recordings" below. |
| PostHog | Product analytics and session replay. | How pages are used. See "Recordings" below. |
MyGradLedger administrators can view and remove content for support and safety reasons.
Recordings and analytics
To improve the site we use Microsoft Clarity and PostHog, which can record how a page is used. In the app, sign-up and onboarding, dialogs, the supervisor confirmation page, and the admin console, all text and everything typed is masked, so a recording shows layout and clicks but not names, activities, or anything you write. The public home page is not masked because it contains no personal information. These tools and Google Analytics may set cookies or similar storage in your browser. [OWNER: confirm whether a cookie notice is needed for your audience.]
Public portfolios
A portfolio is private unless the student publishes it. A published portfolio shows the student's name, school, class year, and only the activities a supervisor has verified, including the supervisor's name, role, and comment. Anyone with the link can see it. The student can unpublish it at any time.
Keeping and deleting your data
- We keep your account and ledger until you delete it.
- To delete everything, open Account Settings, choose Delete my account, and confirm with your password. This permanently removes your profile, activities, verification requests, any public portfolio, and your sign-in. It cannot be undone, so download your resume first if you want a copy.
- Some things are not removed this way: feedback or advisor sign-ups sent without being signed in (we cannot tell who sent them, so email us to have one removed), overall usage counts, the IP-address rate-limit counters described above, and technical logs and analytics held by the services above for their own limited periods.
- Supervisors who want a confirmation they gave removed, or anyone who cannot use Account Settings, can email [CONTACT EMAIL].
Security
Data travels over encrypted connections and is stored with Google Cloud. A supervisor's confirmation can only be created through a secret one-time link, and only our servers can mark an activity verified. No system is perfectly secure, so please use a strong, unique password.
Students and age
MyGradLedger is made for high school students. [OWNER: state the minimum age and any parent or guardian consent you require, and confirm what applies to you under the laws of the places you operate, such as COPPA in the United States.]
Changes
If we change this page in a way that matters, we will update the date above and, for big changes, tell students in the app.
